Personal data which you provide to us is only accessible to QCEA staff, and is only used for the purpose(s) for which you gave consent at the time of providing it. (For example, if you offer a member of QCEA staff your business card, it is likely that we will retain the relevant information in an internal contact database in order to be able to contact you for professional reasons in future.) For practical reasons, your data may be hosted on secure online platforms in addition to on our internal server, but we never share it with third parties. Except in cases where you provide data for a specific, time-limited purpose, QCEA may retain your data indefinitely. You have the right to withdraw your consent, and thereby have your data deleted, at any time – see below for more information.
COMMUNICATING WITH YOU BY EMAIL
QCEA uses the online platform MailChimp to keep in touch with our members, subscribers, colleagues and friends by email. This is the industry-standard service for sending emails to large groups of people. To do this, we maintain a record of your name and the email address you provided for the purpose of staying informed – nothing else. This data is never shared with third parties and is used solely for the purpose of providing updates on QCEA’s work. In most cases, we only send you emails which you have previously asked to receive (such as our newsletter) and we only do so otherwise when we feel confident that you’ll be interested.
COMMUNICATING WITH YOU BY POST
If you have previously supplied QCEA with your postal address for a specific purpose – such as to receive copies of our publications by post – then we maintain a record of this on a secure server at our offices, together with any other personal data you provided at the time. This data is never shared with third parties and used solely for its intended purpose. We will only contact you by post in cases where you have previously given your consent for us to do so. This applies equally for postal addresses of Quaker Meetings.
OTHER PERSONAL DATA
If you make a donation to QCEA via Direct Debit, your payment(s) and the associated personal data – your email and postal address – are handled and stored by GoCardless, a major online payment platform. We do not use this information for any other purpose, and your bank account details are not accessible to QCEA at any time. If you make a donation by any other means, we may also maintain a record of your contact details in order to confirm receipt of payment. Please note that donations made in Pounds Sterling (GBP) are handled on our behalf by QCEA’s British Committee, who also maintain similar records.
Any other personal data which you provide to QCEA – for example, your passport number or dietary requirements, in the context of attending an event – will only be used for its intended purpose and deleted afterwards. In most cases, we use the Cognito Forms or Google Forms platform to collect and store this information.
STAYING IN CONTROL OF YOUR DATA
You have the right to request access to the personal data which QCEA holds. You also have the right to request that this data be modified or deleted. These rights apply at any time, and QCEA will comply within one month of a request being received. You can make such a request by contacting office@qcea.org
You can stop receiving emails from us at any time using the “unsubscribe” link at the end of every email we send. This also deletes your name and email address from the relevant mailing list.
If you feel that QCEA has misused your personal data, or are dissatisfied with our response to a request which you have made regarding it, you can contact your national Data Protection Authority for assistance.
